If you are developing a private label candle or a custom candle gift box, sampling is the most important step before production. This guide explains how the sampling process works, how long it takes, what it costs, and how to prepare for sample approval.
Why sampling matters
Sampling is not just about seeing a physical product. It is your chance to verify:
- Fragrance quality and throw — Does the scent match your expectation? Is it too strong or too weak?
- Color accuracy — Does the candle color match your brand palette?
- Packaging fit — Does the label sit correctly? Does the box close properly?
- Shipping stability — Will the candle survive international transit? The sample and packing proposal should be reviewed for the intended route and seasonal conditions.
- Overall presentation — Does the product look and feel right for your target market?
Skipping sampling to save time or cost often leads to bigger problems during production. A well-done sample prevents expensive mistakes.
The sampling process step by step
After reviewing a complete brief, we confirm suitable product directions, available fragrance options, packaging suggestions, sampling cost and the project-specific timeline.
Sampling fees depend on the scope. A simple stock product sample costs less than a full custom sample with new fragrance and custom packaging. We will quote you before proceeding.
We prepare the sample based on your specifications. This includes candle production, fragrance blending, label application, and packaging assembly.
We send you sample photos for initial review. If you want a physical sample, we ship it to your address. International shipping time is quoted by destination, carrier and service level.
You evaluate the sample and tell us what you like and what needs adjustment. Common feedback includes fragrance strength, color adjustment, label position, and packaging tweaks.
If changes are needed, we prepare a revised sample. The number and timing of revision rounds depend on the approved change list.
Once you approve the sample, we confirm the order and begin production. The approved sample becomes the quality reference for the entire production run.

Sampling costs
Sampling costs vary based on scope:
- Stock product sample: Lower cost. We use existing products with your label applied.
- Custom fragrance sample: Higher cost. Fragrance house coordination and blending required.
- Custom packaging sample: Packaging production cost applies. Custom boxes have their own setup costs.
- Full custom sample: Highest cost. New candle design, custom fragrance, and custom packaging all included.
Whether a sampling fee can be credited against a later production order depends on the project and must be stated in the quotation.
How to prepare for sampling
The better prepared you are, the faster and more accurate the sample will be:
- Have a clear product description — Type, size, fragrance direction, color preference
- Provide reference images — Photos of products you like (even from other brands) help us understand your direction
- Share your brand guidelines — Logo files, color codes, label dimensions if you have them
- Specify your target market — This affects requested documentation, labeling and packaging requirements
- Set a realistic timeline — Rushed sampling often leads to mistakes

What happens after sample approval
Once you approve the sample:
- We confirm the production order details (quantity, price, timeline)
- The approved sample is kept as the quality standard
- Custom bulk production is typically planned for 25–35 days after sample, artwork and material approval
- We send production updates and photos if requested
- Final quality check before shipment
