Custom Candle Sampling Process: What to Expect

Published by Lumen Narrate • Candle Sourcing Guide

If you are developing a private label candle or a custom candle gift box, sampling is the most important step before production. This guide explains how the sampling process works, how long it takes, what it costs, and how to prepare for sample approval.

Why sampling matters

Sampling is not just about seeing a physical product. It is your chance to verify:

Skipping sampling to save time or cost often leads to bigger problems during production. A well-done sample prevents expensive mistakes.

Production planning note: Sampling is the best stage to confirm fragrance, color, labels and packaging. Changes requested after material ordering or production starts may affect cost and timing.

The sampling process step by step

1
Submit your sampling request
Tell us what you want to sample: candle type, fragrance direction, color, packaging, and any reference images or products you like. You can do this through our RFQ form or WhatsApp.
2
We review your request and confirm scope
After reviewing a complete brief, we confirm suitable product directions, available fragrance options, packaging suggestions, sampling cost and the project-specific timeline.
3
Sampling fee confirmation
Sampling fees depend on the scope. A simple stock product sample costs less than a full custom sample with new fragrance and custom packaging. We will quote you before proceeding.
4
Sample development
We prepare the sample based on your specifications. This includes candle production, fragrance blending, label application, and packaging assembly.
5
Sample photos and/or shipping
We send you sample photos for initial review. If you want a physical sample, we ship it to your address. International shipping time is quoted by destination, carrier and service level.
6
Sample review and feedback
You evaluate the sample and tell us what you like and what needs adjustment. Common feedback includes fragrance strength, color adjustment, label position, and packaging tweaks.
7
Revision (if needed)
If changes are needed, we prepare a revised sample. The number and timing of revision rounds depend on the approved change list.
8
Sample approval and production start
Once you approve the sample, we confirm the order and begin production. The approved sample becomes the quality reference for the entire production run.

Sampling timeline

Stage Typical Time
Request review and quotation Confirmed after complete brief review
Simple sample (stock product + label) Often 3–7 business days after specifications are confirmed
Custom sample (new fragrance + custom packaging) 7–15 business days
International shipping Carrier estimate by destination and service
Sample review and revision Confirmed after the revision scope is agreed

Total timeline: The final schedule depends on product complexity, material availability, revision rounds and shipping destination. The quotation should separate development time from transit time.

Seasonal reminder: During peak seasons (August–October for Christmas products), sampling queues can be longer. If you are planning a seasonal collection, start the sampling process as early as possible. See our Christmas candle customization page for timeline guidance.

Sampling costs

Sampling costs vary based on scope:

Whether a sampling fee can be credited against a later production order depends on the project and must be stated in the quotation.

How to prepare for sampling

The better prepared you are, the faster and more accurate the sample will be:

If you are not sure how to prepare, see our checklist on what to prepare before requesting a candle quotation.

What happens after sample approval

Once you approve the sample:

  1. We confirm the production order details (quantity, price, timeline)
  2. The approved sample is kept as the quality standard
  3. Custom bulk production is typically planned for 25–35 days after sample, artwork and material approval
  4. We send production updates and photos if requested
  5. Final quality check before shipment
  6. EXW pickup or shipping coordination

See our Wholesale page for full order process details and MOQ guidance for quantity planning.
